Summary:
The Safety Manager is a key contributor to the local operation and Corporate Safety Office, providing essential administrative and operational support to ensure the efficient coordination and execution of comprehensive safety and compliance programs. This role is instrumental in maintaining meticulous records, driving regulatory adherence, and actively fostering an initiative-taking safety culture within the dynamic transportation and logistics industry. The ideal candidate will possess exceptional organizational skills, keen mindfulness, and a robust understanding of safety and compliance regulations.

Essential Duties and Responsibilities:
  • Develop and deliver safety training programs to employees at location, including new hire orientations, refresher courses, and specialized training on specific hazards
  • Conduct regular safety inspections and audits of equipment, facility, and garage within location, identifying and assessing potential hazards
  • Advise management of safety-related issues and recommend improvements to safety procedures and practices
  • Promote a positive and proactive safety culture within location; recognize and reward safe work behaviors; communicate effectively with employees at all levels regarding safety matters
  • Assist disputing all questionable DOT violations
  • Collect, analyze, and report on safety data, including key performance indicators (KPIs) such as incident rates, near misses, and training completion rates
  • Utilize data to identify trends, prioritize risk mitigation efforts, and measure the effectiveness of safety programs
  • Be point of contact for all safety related incidents and responsible for investigation and reporting of incidents.
  • Proactively maintain and organize comprehensive safety and compliance records (e.g., training documentation, incident reports, inspection logs) to ensure data integrity and accessibility.
  • Coordinate safety meetings, training sessions, and internal audits.
  • Prepare and distribute safety communications. Process safety paperwork, maintain filing systems (electronic/physical).
  • Assist with regulatory report preparation (OSHA, DOT, EPA).
  • Compliance Monitoring:
    • Monitor adherence to federal, state, and local safety/transportation regulations (FMCSA, OSHA, DOT).
    • Stay informed of regulatory changes; communicate updates.
    • Manage data input and accuracy for third-party compliance portals (ISNetworld, Avetta, Samba Safety, Vigillo, ProTread).
  • Incident Management:
    • Collect, organize, and analyze incident investigation data.
    • Maintain precise records of safety incidents and near misses.
    • Prepare comprehensive incident reports and summaries; track and follow up on corrective actions.
  • Data Management and Reporting:
    • Compile and analyze safety performance data (incident rates, compliance metrics).
    • Contribute to safety Key Performance Indicator (KPI) development and tracking.

Safety Manager Requirements
Qualifications & Experience:
  • Education: Associate's degree in occupational safety, environmental health, safety management, or a related field preferred.
  • Experience: Minimum of 4+ years of relevant and progressive experience in a safety or compliance role, in the transportation industry.
  • Regulatory Knowledge: Demonstrated in-depth knowledge of DOT and OSHA regulations.
  • Skills: Exceptional organizational skills, meticulous diligence, and ability to manage multiple priorities. Advanced proficiency in Microsoft Office Suite. Excellent verbal, written, and interpersonal communication skills. Ability to work independently, exercise sound judgment, collaborate effectively, and maintain strict confidentiality. Familiarity with safety management systems (SMS) software and compliance platforms.
  • Licensing and Travel: Valid Class A Commercial Driver's License required; Ability to travel up to 5% within the continental United States.
