The Parts Supervisoris responsible for overseeing all parts inventory and procurement activities to support maintenance operations. This role ensures the timely availability of parts, manages vendor relationships, maintains accurate inventory levels, and supports shop efficiency by minimizing downtime. The Parts Supervisorworks closely with technicians, maintenance leadership, and vendors to ensure parts are sourced, tracked, and distributed effectively while maintaining cost control and organization.

Key Responsibilities
Parts Operations
  • Manage daily parts room operations including ordering, receiving, stocking, issuing, and tracking inventory.
  • Ensure parts are readily available to support maintenance schedules and minimize equipment downtime.
  • Maintain accurate inventory levels through regular cycle counts and audits.
  • Monitor inventory usage trends and adjust stock levels accordingly.
  • Ensure proper organization and cleanliness of the parts room.

Procurement and Vendor Management
  • Source parts from approved vendors to ensure quality, availability, and cost efficiency.
  • Build and maintain strong relationships with suppliers and negotiate pricing when applicable.
  • Track and expedite backorders or delayed shipments.
  • Evaluate vendor performance and identify opportunities for improvement.

Supervision and Support
  • Support technicians by quickly identifying and providing correct parts.
  • Assist shop leadership with parts-related planning and scheduling.
  • Promote a team-oriented environment focused on efficiency and accountability.

Safety and Compliance
  • Ensure proper handling, storage, and labeling of parts and materials, including hazardous items.
  • Maintain compliance with company policies and safety standards.
  • Support shop safety initiatives and ensure the parts area remains hazard-free.

Communication and Coordination
  • Coordinate with maintenance leadership to align parts availability with repair schedules.
  • Communicate part delays or shortages that may impact operations.
  • Maintain accurate documentation for all parts transactions.

Performance Monitoring
  • Track key metrics such as inventory accuracy, parts availability, and cost control.
  • Identify trends in parts usage and recommend cost-saving opportunities.

Continuous Improvement
  • Identify and implement process improvements to enhance parts management efficiency.
  • Support implementation of inventory systems or technology improvements.
  • Assist with training on parts processes and procedures.

Parts Supervisor Requirements:
Required
  • 3-5 years of experience in parts management, inventory control, or maintenance support
  • Strong organizational and inventory management skills
  • Ability to work in a fast-paced environment
  • Strong communication and problem-solving skills
  • Basic computer skills and experience with inventory systems
Preferred
  • Experience in a fleet or heavy-duty truck maintenance environment
  • Knowledge of truck parts and components
  • Experience with maintenance or inventory software systems
