Position Summary
The Risk Management Coordinator provides administrative and operational support to the Risk Management Department, with primary responsibility for supporting the administration of Workers' Compensation and Auto Liability claims.
This position works closely with Risk Management team members, field management, employees, insurance carriers, third-party administrators, and other internal departments to ensure claim-related documentation is collected, organized, filed, and provided timely. The position also assists with temporary-duty coordination, claim reporting, data tracking, and other administrative activities necessary to support an effective claims and risk management program.
Essential Duties and Responsibilities
Workers' Compensation Claims Support
- Collect and organize documentation associated with Workers' Compensation claims, including incident reports, medical documentation, witness statements, wage information, work status reports, and other required claim information.
- Follow up with field management to obtain missing or incomplete claim documentation.
- Assist with communication between Risk Management, field management, employees, insurance carriers, and third-party claims administrators.
- Track employee work status and restrictions following a workplace injury.
- Assist field management with identifying and documenting appropriate temporary or modified-duty assignments based on established work restrictions.
- Maintain temporary-duty documentation and follow up with field management regarding changes in employee work status.
- Track outstanding documentation and follow up to ensure required information is received timely.
- Assist with maintaining Workers' Compensation claim logs and reports.
Auto Liability Claims Support
- Collect documentation related to vehicle accidents and Auto Liability claims, including accident reports, driver statements, photographs, police reports, vehicle information, estimates, and other supporting documentation.
- Follow up with field management and other departments to obtain required accident and claim information.
- Organize and provide claim documentation to Risk Management team members, insurance carriers, third-party administrators, or other appropriate parties.
- Track outstanding claim documentation and follow up on incomplete submissions.
- Maintain accurate claim records and supporting documentation.
Document Management and Reporting
- File and maintain Workers' Compensation, Auto Liability, and other Risk Management documentation within the company's designated electronic document repository.
- Ensure documents are properly labeled, organized, and maintained in accordance with departmental standards.
- Maintain claim-related spreadsheets, logs, trackers, and databases.
- Run scheduled and ad hoc Risk Management and claims reports.
- Assist with preparing weekly, monthly, and quarterly claim reports and summaries.
- Monitor open administrative items and follow up with appropriate individuals to ensure timely completion.
- Assist with data entry and reconciliation between internal records and claim administrator or insurance carrier reports.
- Maintain confidentiality of employee, medical, claim, and company information.
Field and Department Support
- Serve as an administrative point of contact for field management regarding claim documentation, temporary-duty paperwork, and other Risk Management administrative requirements.
- Communicate with General Managers and other field leaders regarding missing information and outstanding action items.
- Assist Risk Management leadership with scheduling, correspondence, document preparation, and other administrative activities.
- Support insurance renewals, audits, claims reviews, litigation documentation, and other Risk Management projects as needed.
- Assist with gathering documents requested by insurance carriers, brokers, legal counsel, or third-party administrators.
- Perform other administrative duties and special projects as assigned.

Qualifications Risk Management Coordinator
- High school diploma or equivalent required; associate degree or additional business education preferred.
- 2-4 years of administrative, claims, insurance, human resources, safety, transportation, or related experience required.
- Prior experience supporting Workers' Compensation, Auto Liability, insurance claims, or Risk Management is required.
- Strong organizational skills with the ability to manage multiple open items and deadlines.
- Strong follow-up skills and willingness to work directly with field management to obtain required information.
- Strong attention to detail and accuracy.
- Ability to handle confidential and sensitive employee and claim information.
- Strong written and verbal communication skills.
- Ability to work independently while maintaining appropriate communication with Risk Management leadership.
- Proficiency in Microsoft Excel, Word, Outlook, and other Microsoft Office applications.
- Experience working with electronic document management systems, claims systems, or HR systems is a plus.
